How to Write a good Email

Email is one of the most important communication channels, and we would like to have a training session to tell team members how to write a good email.

Problems we met

•No title, no attachment
•No signature, no hello/hi
•No clear format
•Spelling error, grammar error
•Wrong To and CC

What should we do?

•Make your title concise and precise
•Don’t forget the attachment
•Avoid too big attachment
•Add a signature in Outlook
•Add hi/hello and proper call at the head

•Clear format, be professional
•Present yourself at the beginning of the mail
•Highlight the most important part of the mail
•Paragraphing your points or use bullets
•Add right people in To and CC

•Don’t fight with others in Email
•Use please often
•Use phone for urgent or complicated issues

•Have a clear understanding about business working environment and friends’ communication
•Think in receiver’s perspective
–Office 2003/WinRAR
–Add your name for replied attachment
–Right time of sending email
–Give response quickly
